DVLA Code Challenge Competition (the Competition)
We have a few rules (these Rules) which you’ll need to know and follow when you enter this competition run by us, Driver and Vehicle Licensing Agency, Longview Road, Swansea, SA6 7JL (DVLA).

These Rules include details about how to enter the Competition, opening and closing dates, prize details, and anything else DVLA thinks you may need to know about entering the Competition. These Rules will apply to the Competition and by entering the Competition, you promise to follow and be bound by these Rules (which may be amended or varied at any time by DVLA with or without notice) and by DVLA’s decisions, which are final in all matters relating to these Rules, the Competition, the draw and/or the results and no correspondence or discussion shall be entered into.

 

PARENTAL CONSENT

  1. Before you enter the Competition, all schools, clubs and groups must get the parent’s/guardian’s permission for any child to join a team entering the Competition. The Code Challenge Consent Statement will be sent to all schools, clubs and groups when registering for the competition as detailed in Section 5 and must be returned completed to DVLA.

WHO CAN ENTER?

  1. Only schools, clubs and groups working with children aged 14 years or under based in Wales are eligible to enter the Competition. Any entry that does not have an address in Wales will not be valid.

  1. There are no restrictions to children or adults whose parents/guardians or family members are employees of DVLA, or any other company associated with the Competition.

PROMOTION PERIOD

  1. The Competition opens at 00.00am on 12/02/2018 (the Opening Date) and will close for entries at 11.59pm on 12/10/2018 (the Closing Date). The period between the Opening Date and the Closing Date is referred to in these Rules as the Promotion Period.

HOW TO REGISTER FOR THE COMPETITION

  1. To register your school / group or Club for the Competition, the school, club or groups will need to do the following;

 

  1. Download the competition registration form from the competition web site web site at http://dvlacodechallenge.dvla.gov.uk and return it to us itsvc@dvla.gsi.gov.uk . You need to register the following information;

 

    1. Official School / Group / Club Name, Address, telephone number and email address.

    2. Official contact i.e. Head Teacher, Teacher or Team Leader Name and contact details.

    3. Approximate number of teams your organisation will be entering and the Team Age Group i.e. 7-11 or 11-14. ( This is just an estimate it does not have to be accurate)

 

HOW TO ENTER

  1. To enter the Competition, the school, club or groups will need to do the following;

 

  1. First make sure you have registered as described in Section 5. You cannot submit your entries if you haven’t registered.

  2. Now you need teams. Each school, group or club can have as many teams as desired. Each team must consist of a minimum of two (2)  and a maximum of six (6) children and one adult team leader, the team leader may lead more than one team. Each team is assigned an age group 7 – 11 or 11 – 14 year olds.

  3. Choose your theme. Each team can select one or more themes but can only submit one entry per theme. If multiple entries for the same theme are submitted by the same the team, the first entry received will go into the competition all other entries for that theme will be discarded. Themes will be available on the web site from 19/03/2018 and will be sent to all registered groups once released.

  4. For teams in the 7-11 year old group you should design and build your entry in SCRATCH.

  5. For teams in the 11-14 year old group you can design and build your entry in whatever language you prefer.

  6. All teams across all age groups will need to create a short team video (no longer than 2 minutes) describing what your entry is about and how you made it.

  7. Get parent’s/guardian’s consent for each team member as outlined in Section 1.

  8. Four weeks before the closing date DVLA will send out Competition entry forms to each registered School, Group or Club.

  9. Complete the Competition entry form and return it to us at itsvc@dvla.gsi.gov.uk . You need to confirm the following information;

 

  1. Your Registration number

  2. Official School / Group / Club Name Address and email address and telephone number.

  3. Team Leader Name and contact details

  4. Team Member Names and Parental Consent form for each child.

  5. Team Age Group ie 7-11 or 11-14

  6. What theme the team will be entering.

 

  1. These must be completed and returned to us at itsvc@dvla.gsi.gov.uk with your competition entry and video before the closing date at 11.59pm on 12/10/2018. You must register prior to DVLA sending out the entry forms to be eligible to enter the competitions. Entries received without valid registration will be disregarded.

  2. Entries received outside the Promotion Period will not be valid. DVLA is not responsible if your Entry gets lost, delayed, misdirected, undelivered, damaged or if you have technical problems trying to enter the Competition.

WINNER SELECTION

  1. All valid entries will be judged by Code Club who will provide a shortlist of;

 

  1. four (4) finalists from the 7 – 11 age group and

  2. four (4) finalists from the 11 – 14 age group

 

Who will go through to the Competition Final. The decision of Code Club is final and no correspondence will be entered into regarding the selection of the Finalists.

  1. The Finalists will be notified no later than 3:30 PM on 12th November 2018.

  2. DVLA has the right to choose an alternate Finalist if:

 

  1. DVLA cannot contact a Finalist or

  2. A Finalist’s parents/guardians do not

 

  1. Agree to these Rules;

  2. Want the Finalist to receive the prize

  3. Give their consent as may be requested by DVLA within a reasonable time.

 

  1. The Final will be held at The Richard Ley Development Centre in Swansea on the 4th December 2018 at 10:00 AM. The event address is;

  1. In the event that finalists have difficulty travelling to and from the event in Swansea, DVLA will consider offering assistance where possible.

  2. Each team will showcase their entry to a panel of special guest judges. The best entries will receive a prize and a Certificate. The decision of the judges is final and no correspondence will be entered into regarding the selection of the winners.

  3. Prizes will be awarded on the day.

 

THE COMPETITION PRIZES

  1. There is one (1) first prize, one (1) second prize and one (1) third prize to be won in the Competition and one (1) runner-up prizes for each age group

  2. The prizes are set out below and all prizes except where stated otherwise will be strictly for IT Equipment for the school, club or group that entered the competition

  1. The prizes are as stated and cannot be exchanged or transferred. No cash alternatives will be offered.

 

THE PRIZE DRAW

  1. There is a prize draw to win IT Equipment for schools, clubs and groups. To enter the prize draw one of the following must apply. Your School, Club or Group has;

 

  1. Made a valid entry into the competition and are not one of the finalists.

  2. Booked a ticket for your School, Club or Group to attend the Prize Award Day event to be held in The Richard Ley Development Centre (RLDC) Swansea and have been present on the day.  The event address is;

  1. Booked a ticket for your School, Club or Group to participate in the Prize Award Day event via web stream or video conference and have been present.

 

  1. Free tickets will be available from 14/05/2018 with full details on how to get them on the web site at http://dvlacodechallenge.dvla.gov.uk

  2. The number of prizes and value of each will be determined before the closing date of the competition.

  3. The draw will take place during the Finalist event day.

 

PRIZES AND PRIZE DRAW

  1. If DVLA or any third party prize provider is unable to provide the prizes or any part thereof, DVLA has the right to award a substitute prize of equal or greater value. The prizes may be subject to additional terms and conditions of the manufacturer or supplier.

  2. DVLA reserves the right to cancel this Competition at any stage or to shorten the time for entering the Competition during the Promotion Period, if DVLA thinks it is necessary in its reasonable opinion, or if circumstances arise which are out of DVLA’s control. If the time for entering the Competition is cut short during the Promotion Period, the winners shall be selected in accordance with these Rules from all eligible entries received prior to such termination date.

  3. Events may occur that render the awarding of the prizes (or any part thereof) impossible due to reasons beyond the reasonable control of DVLA. DVLA will not be liable or responsible for any loss or damage suffered by the Finalists, Winners of the competition or Prize Draw winners should they not receive the prizes (or any part thereof) as a result of any such event. In particular, DVLA shall have no obligation to substitute any alternative prize, cash equivalent or provide any other compensation.

  4. If you are one of the main prize winners as stated in section 15, you will need to provide DVLA with a list of your IT requirements. DVLA will purchase these items on your behalf to the value of your awarded prize and have them delivered directly to your school / group or club. For avoidance of doubt, DVLA is not liable for any loss, damages or personal injury resulting from the purchases. Liability in these circumstances resides with the provider of the kit.   5. If your prize includes vouchers DVLA will provide IT gift vouchers solely for the purchase of IT equipment for your school/club/organisation which cannot be exchanged/transferred onwards for cash. The winners will need to provide DVLA with evidence for all goods purchased out of the prize vouchers (a receipt), within 30 days of your purchase. When you utilise the vouchers to purchase the kit, your rights under Warranty and the Consumer Rights Act 2015, will reside between you and the IT kit provider. For avoidance of doubt, DVLA is not liable for any loss, damages or personal injury resulting from the purchases via the vouchers. Liability in these circumstances resides with the provider of the kit. The contact for all queries following receipt of your vouchers will be itsvc@dvla.gsi.gov.uk

  6. If your prize include IT Equipment DVLA will provide kit as part of the Prize Draw which has been donated by sponsors of the competition. You will be asked to confirm receipt of the kit on the day it is received, and confirm that it is in good working order within 5 working days. If this is unachievable, you should advise DVLA immediately. The date you confirm receipt will act as the commencement of the warranty period. Should you experience any issues which are covered under Warranty or the Consumer Rights Act 2015, these will be managed by DVLA with the supplier who has donated the kit. For avoidance of doubt, DVLA is not liable for any loss, damages or personal injury resulting from the kit provided. Liability in these circumstances resides with the provider of the kit. GENERAL

  1. All changes to the Rules will be posted in revised terms and conditions at http://dvlacodechallenge.dvla.gov.uk

  2. By entering the competition you agree that all entries can be used, changed or distributed at no cost, either now or in the future, by any individual or organisation that wishes to do so.

  3. DVLA will not be liable to you for any delays or failure (whether in whole or in part) in carrying out its obligations in respect of the Competition due to circumstances beyond DVLA’s reasonable control. You will be solely responsible for any costs incurred by you as a result of such delays and/or failures.

  4. DVLA will not be liable to you for any loss, damage or personal injury however it was caused (including without limitation in contract, tort or statutory duty) in connection with the Competition and/or prizes.

  5. By entering this Competition you agree and confirm that you, as the Team Leader, have obtained the parents/guardians consent and provided DVLA with the completed Code Challenge Consent Statement. DVLA may use in any and all media, in accordance with The Code Challenge Consent Statement, names, photographs and/or recordings of the team and any statement made by the team members, and the team entry to the Competition.

  6. DVLA reserves the right to amend or vary these Terms and Conditions at any time with or without notice.
